Vehicle grouping allows fleet managers to efficiently organize and manage vehicles, especially when specific managers are responsible for designated groups. Here's a detailed guide:

What is Vehicle Grouping?

Vehicle grouping is a feature that enables fleet managers to organize vehicles into specific groups, streamlining operations and oversight for managers assigned to those groups.

Where Does Vehicle Grouping Apply?

Vehicle grouping impacts the following views:

  • Dashboard
  • Vehicles
  • Costs
  • Fuel Costs
  • Policies
  • Claims

How to Use Vehicle Grouping?

Step 1: Fleet Settings

  1. Go to the Fleet Settings section.
  2. Define group names for your fleet by entering the group name and saving changes.
  3. To activate or deactivate a group:
    • Click on the appropriate field in the "Group Status" column.
    • Confirm the changes.
  4. The groups you define and activate will be visible in sections like Costs, Vehicles, and during the vehicle addition process.

Step 2: Adding/Assigning a Vehicle to a Group

  • Assign vehicles to a group by selecting the group while creating a new vehicle.
  • Alternatively, edit an existing vehicle and save changes in the Vehicles section.

Step 3: Access Management/Permissions

  1. Navigate to the Access Management section.
  2. Assign a default group for each user.
    • If not specified, new users will see data for all vehicles by default.
  3. Note: All users will still have access to all vehicle groups unless restricted further. They can switch views to see all vehicles regardless of the default group.

Important: Changes to a user's default group will be applied after they log back into the PZU iFlota system.

Step 4: Application

  • In sections like Dashboard, Vehicles, Costs, Fuel Costs, Policies, and Claims, all data and summaries will display based on the default vehicle group assigned to the user.

Additional Notes

  • Vehicle grouping provides flexibility in managing large fleets by segmenting data visibility and responsibility.
  • This feature ensures managers focus on the vehicles they are responsible for without distractions from unrelated data.
